Information we collect
Sunshine Pathways Foundation collects personal information only through the forms on this website, and only the information needed to respond to the request being made. The forms and the categories of data they capture are listed below.

Referral form (submitted by partner agencies via /referral-partners): the referring party's name, title, organization, email, and phone, plus identifying and background information about the client being referred that the partner chooses to include in the referral.

Contact form (submitted via /contact): the sender's name, email, phone, organization, subject, and the message body.

Volunteer interest form (submitted via /volunteer): the applicant's name, email, phone, areas of interest, availability, and an optional message.

Donation pledges (submitted via /donate): first and last name, email, phone, donation amount, donation frequency, and an optional message. Payment-card details are entered directly into our third-party payment processor's checkout flow and are never transmitted to or stored on our servers.

Anonymized site analytics: when you load any page on this site, we record an anonymized pageview event containing the page path, the referrer (if any), a generic user-agent string, a hashed version of the visitor's IP address (the raw IP is not stored), and any UTM campaign parameters present in the URL. This data is used only in aggregate to understand site traffic.
How we use information
We use the information collected through our forms to:
- Respond to partner referrals, contact-form messages, and volunteer applications.
- Acknowledge donations, issue tax receipts, and maintain donation records as required by the IRS.
- Produce anonymized, aggregate traffic analytics for program reporting and to improve our website.
We do not use information collected through this site for behavioral advertising, marketing-automation pipelines, or third-party retargeting.
How we share information
Sunshine Pathways Foundation does not sell, rent, or trade personal information. We share information only in the following limited circumstances:
- With our payment processor, solely to process donation transactions. The processor receives only the information needed to complete the payment.
- With our email service provider (Polsia, acting as our data processor), solely to deliver transactional email notifications such as form-receipt confirmations and donation acknowledgements.
- As required by law or in response to a valid legal process, including disclosures to federal grant monitors under our OVW, HUD, and Byrne JAG awards.
- With your consent or at your direction, for any other purpose disclosed at the time of collection.
Retention
- Contact, volunteer, and referral submissions are retained while the relationship is active and for a reasonable period afterward to support program reporting and audit obligations.
- Donation records are retained in accordance with IRS recordkeeping requirements, generally at least seven (7) years.
- Anonymized pageview records are retained in aggregate form for traffic analysis and program reporting.
Your choices
You may request access to, correction of, or deletion of your personal information at any time by emailing info@sunshinepathwaysfoundation.org. We will respond within thirty (30) days. Note that records we are required to retain for legal, tax, or audit reasons cannot be deleted while those obligations apply.
Security
We use reasonable administrative and technical safeguards to protect personal information. Submission data is stored in a managed PostgreSQL database (Neon) with restricted access, and form submissions are transmitted over HTTPS. No system is perfectly secure, but we work continuously to keep your information protected.
Children's privacy
Our programs serve adults. We do not knowingly collect personal information from anyone under the age of 13. If you believe we have inadvertently collected information from a child under 13, please contact us so we can delete it.
Changes to this policy
We may update this policy from time to time. Material changes will be posted on this page with an updated "Last updated" date at the top of the policy.
